Maple Leaf Self Storage (“Maple Leaf”, “we” or “us”) is committed to maintaining your privacy. We take careful measures to ensure that your Personal Information is kept confidential, safe, and secure, and is used only in accordance with this Privacy Policy or as otherwise consented to by you.
Consistent with applicable privacy laws, “Personal Information” means information about an identifiable individual. Maple Leaf collects your Personal Information to provide you with our products and services, which include but are not limited to providing you with information about our properties, giving you access to our platforms, tailoring the Website to your needs, leasing, managing and safeguarding our properties (“Maple Leaf Products and Services).
For the purposes of this Privacy Policy, the term “Website” means www.mapleleafstorage.com and all of its related property webpages and Websites (including without limitation any mobile optimized Website), and the term “Mobile Application” means any mobile application that links to this Privacy Policy. This Privacy Policy does not apply to any third party Websites or mobile applications even if such third party Websites or mobile applications are linked to from the Website or Mobile Application or used in association with the Maple Leaf Products and Services.
This Privacy Policy describes how Maple Leaf collects, protects, uses and discloses Personal Information that is collected by Maple Leaf or provided by you as you use the Website, the Mobile Application and the Maple Leaf Products and Services.
Maple Leaf may at any time, without notice, update this Privacy Policy. You should periodically revisit this posting to review any revisions to this Privacy Policy.
Application of This Privacy Policy
This Privacy Policy applies to Personal Information collected by, or supplied to, Maple Leaf to provide you with the Maple Leaf Products and Services.
This Privacy Policy does not apply to our collection, use, or disclosure of:
- Publicly available information such as a person’s name, address, telephone number, and electronic address, when listed in a public directory; or
- Business contact information, including the name, title, or business address or telephone number of an employee of an organization where we use it to communicate with you in relation to your employment, business, or profession.
Collection of Personal Information
The Personal Information we collect will vary depending on how you interact with us, but may include:
- Name, email address, address, telephone number, billing information, and transaction history;
- Personal Information that you provide to us via your tenant portal account, including country of residence and/or other registration or application information;
- Personal Information that you provide to us when you apply to rent one of our spaces or apply to a job with us;
- Personal Information that you provide to us regarding your tenancy;
- If you use our online web portal to pre-register a visitor, the visitor’s name, email address, and company affiliation of the person;
- Location information from your mobile device;
- Personal information you provide to us when you visit Maple Leaf offices or properties, check in at Concierge Desk, attend one of our events, sign up for a contest, place a service request (either online or over the phone), or contact our customer service;
- Other information collected automatically when you visit or use our Websites or Mobile Application as described in the Information Collected Automatically, Cookies and Google Analytics sections below; and
- Images, movements, actions (such as date and time of entry/exit), or other identifiable information about our tenants and visitors captured by our security and access control systems, as well as video monitoring in the common areas at our properties.
Generally, we collect Personal Information directly from you, but we may also collect it from third parties where you consent or we are permitted by law to do so.
We collect and use your Personal Information, for the following purposes:
- to provide you with the Maple Leaf Products and Services;
- to process your application for tenancy, your lease or other tenancy interaction;
- to process your job application;
- to monitor building and suite performance, including delivering any services requested by you;
- to manage building security and access;
- to send you communications you have opted-in to receive;
- to respond to your questions and comments;
- to respond to your requests for information regarding Maple Leaf Products and Services;
- to verify your eligibility to create an account on the Mobile Application;
- to tailor your experience of the Website and Mobile Application;
- to troubleshoot technical problems with the Website, Mobile Application and the Maple Leaf platforms and to improve the Website, Mobile Application and the Maple Leaf platforms;
- to help Maple Leaf analyze the browsing and usage patterns of its users in order to improve the content and design of its Websites and Mobile Application;
- to enforce the Terms of Use of the Website and Mobile Application;
- to meet any legal or regulatory requirements;
- with your consent to conduct marketing, including promotional activities;
- as otherwise described to you when the information is collected; and
- to take any other action required or permitted by law.
If you use the digital access card feature within our Mobile Application, where available, we or our service provider will collect location information from your device. This information is collected when your device is near a card reader and will be collected even if the Mobile Application is not in use. Location information is only used to determine your proximity to the card reader to facilitate your entry or exit into the space. You can choose not to share your location information at any time by turning off location services through your device settings. However, if you turn off location services, you will not be able to use the digital access card feature.
Use and Disclosure of Personal Information
We will use the Personal Information for the various purposes outlined above under “Collection of Information”.
We may transfer Personal Information to service providers, affiliates and business partners who perform services on our behalf, such as data hosting and processing, analytics, marketing, information technology and information security, and similar services. In sharing Personal Information with these third parties, we take reasonable contractual and other measures to protect the Personal Information, specifically so the third parties use the Personal Information only for the purposes for which we disclose it to them, and to process it with the with the same standards as set out in this Privacy Policy.
We may also disclose your Personal Information:
- to credit reporting agencies or collection agencies;
- to government institutions under certain circumstances;
- to insurance providers in order to process your lease or other tenancy interaction;
- to enforce the Terms of Use of the Website or Mobile Application;
- to protect and defend the rights or property of Maple Leaf;
- to act in urgent circumstances to protect the safety or security of the public or users of the Maple Leaf Products and Services;
- to a buyer or other successor in the event of a merger, divestiture, restructuring, reorganization, dissolution, or other sale or transfer of some or all of our assets, whether as a going concern or as part of bankruptcy, liquidation, or similar proceeding, in which Personal Information held by us about our customers and users is among the assets transferred; or
- if required to do so by law or legal process or if we are otherwise requested by any law enforcement officer or agency having demonstrated their right to access the information.
Information Collected Automatically
When you visit the Website or Mobile Application, some information (i.e. the site from which you linked, your Internet Service Provider, the time and date of your visit, your device ID) may be collected automatically by the software that operates our Website or Mobile Application. This information is used by our technical engineers to compile aggregate statistics about the total number of daily visitors to our Website or users of our Mobile Application, the pages and features most frequently visited and used, and how long people stay at each page. None of the information that we report includes personal identification.
Cookies
Our Website uses standard technology known as “cookies”, including session cookies and persistent cookies. Session cookies temporarily keep your settings. This information is stored until your browser is closed. Persistent cookies are created for specific functions you may choose to use on the Website, including, but not limited to: accepting terms of use; saving searches; and saving favourites. Persistent cookies are used to improve your experience of the Website and are retained from session to session. These cookies remain after the browser is closed and are stored locally on your system. Maple Leaf does not track such cookies on Maple Leaf servers, nor does Maple Leaf use such cookies to store Personal Information. You may choose to delete persistent cookies after visiting the Website. If you do not wish to accept cookies, you have the option of blocking or disabling cookies. However, please be aware that you may be unable to access certain parts of the Website if you do block or disable cookies.
Google Analytics
This Website uses Google Analytics, a web and mobile analytics tracking tool provided by Google, for audience activity, demographics reporting, and remarketing. You can opt-out of Google Analytics by installing a browser plug-in available on Google’s Website.
Security and Retention of Personal Information
Maple Leaf has implemented reasonable administrative, physical and technical measures to protect your Personal Information against loss or theft, unauthorized access, use or disclosure. We also apply these safeguards when we destroy and dispose your Personal Information in order to prevent unauthorized parties from gaining access to your Personal Information.
We only keep Personal Information as long as necessary to carry out the purpose(s) for which such information was collected or for such longer period as may be required by applicable laws and regulations or your consent to such purpose(s) remains valid after termination of our relationship with you.
We and our third party service providers may process or store information received from you outside of Québec or Canada. Accordingly, your Personal Information may be subject to the applicable governing laws and accessible by foreign law enforcement, regulatory bodies or other authorities.
Third Party Providers
The Website contains links to third party Websites (the “Linked Sites”) that are not controlled or operated by Maple Leaf. The Linked Sites are maintained by the third parties who have their own privacy policies and their own terms and conditions of use. This Privacy Policy does not apply to any of the Linked Sites and Maple Leaf is not responsible for any Personal Information disclosed by virtue of those Linked Sites or for the privacy practices of any operators or sponsors of the Linked Sites. To determine how your Personal Information will be treated when accessing or using the Linked Sites, you must read the privacy policy, if any, that applies to each of the Linked Sites.
We may partner with third party vendors to facilitate their provision of products and services to you. Any Personal Information that you provide to third party vendors or that we provide to third party vendors at your direction is dealt with in accordance with the privacy policies adopted by each of those vendors. Individuals are encouraged to review the privacy policies maintained by each of those vendors to understand how their Personal Information will be used by those entities to process requests.
Accuracy & Accessing And Correcting your Personal Information
By law, you have the right to request access to and to correct the Personal Information that we hold about you. You can request correction of your Personal Information by notifying Maple Leaf of any changes to such information. You are responsible for ensuring that all information created through Maple Leaf Products and Services is accurate, reliable and complete.
If your Personal Information is processed in Québec, and provided this does not raise serious practical difficulties, you can request to have your Personal Information collected from you, in computerized form, transferred to any person or organization that is authorized by law to collect such information. In Québec, you may also request to have your Personal Information deleted if you believe we hold it beyond what is necessary for the purposes for which you provided it.
When you request access, correction, deletion or transfer of your Personal Information, you must do so in writing. We may then request specific information from you to help us confirm your identity. Applicable law may allow or require us to refuse your request. If that is the case, we will inform you of the reasons why, subject to any legal or regulatory restrictions.
Withdrawing your Consent
Where you have provided your consent to the collection, use, and disclosure of your Personal Information, you have the right to withdraw your consent unless your Personal Information is still necessary to fulfill the purposes for which you provided it. To withdraw your consent, if applicable, contact us as set out below. Please note that if you withdraw your consent, we may not be able to provide you with the Maple Leaf Products or Services.
Minors
The Website is intended for general audiences but is not to be used by individuals under 18 years old (“Minors”). We do not knowingly collect Personal Information from anyone under the age of 18. If you become aware that your child has provided us with Personal Information without your consent, please contact us at the email address below. If we become aware that a Minor has provided us with Personal Information without parental consent, we take steps to remove such information from our files.
